PBC Scheduling Policies:
PBC Classroom Scheduling Timeline
- This timeline only applies to Classroom-Specific Spaces. Reserving Meeting-Specific spaces is much less restrictive, allowing scheduling a year out from your desired date. Factors considered in choosing between competing requests for the use of space and resources within specific groups include: date and time the request is received, type of use, expected attendance, requirements for special audio-visual, facilities, length of program, recurring events (daily, weekly, monthly, etc.), and availability of alternative space. Weekly recurring educational events have priority over events that are one-time or occasional. It is only after the PBC’s curriculum needs are met that requests for internally sponsored scheduling, and then outside affiliated organization scheduling, will be approved.

PBC College-Prioritized Curriculum Spaces
- Each PBC entity retains the rights to corresponding college-prioritized curriculum spaces during the first phase of scheduling, as listed the PBC Classroom Scheduling Timeline. After the first phase of scheduling is complete, these spaces will then be released and available times can be requested by other non-prioritized PBC associates. PBC Scheduling does not "bump" or move sessions that are already scheduled for another entity. If a user wants space that is already scheduled for another group, they can directly contact that reservation owner and request this change. If an agreement is reach between the two parties, PBC Scheduling can help facilitate the changes.

PBC Space Classifications
- "Classroom-specific spaces" are prioritized for curriculum, and are reserved in a phased process, as outlined in the Classroom Scheduling Timeline. "Meeting-specific spaces" are scheduled outside of the curriculum scheduling timeline. Reservations will be accepted on a first-come, first-served basis up to a year from the desired reservation date.

Event Forms and Required Lead Times
- A variety of Phoenix Biomedical Campus (PBC) space and resource reservations can be made using Astra Schedule. Using the correct event request form (as described in this document) will avoid causing delays when schedulers are confirming your request.
